Focus on your venue type; are you a business hotel, conference centre, or a venue with a mix of facilities and services for the business and leisure markets.  How significant are meetings and events and how can you demonstrate that?

Location

Provide detail on the immediate location of the venue, is it in the city, a commercial or residential area, a business park perhaps. Is it close to but not overlooking tourist attractions. And in terms of access by road, rail and air, explain to the booker how and how long does it take for their delegates get to your venue?

Design

Write about the venues decor as if you were explaining to someone who couldn’t make a site visit, so describe the architecture, décor and styling/theming of the venue.  

Meeting Space

Describe your meeting space. Is it extensive, on one floor or different floors and what is on each floor? Does it have a separate / private entrance, or perhaps in a separate building  away from the hotel. What meeting types does it suit?

Experience

Confirm what healthcare meeting types you might have had experience in hosting, and explain how you connect to the healthcare meeting market place e.g. access to science parks, hospital clusters, universities or healthcare and life science companies.

Fitness

Do you have a fitness gym? Does it have free weights and exercise machines? Do you have a pool and/or a spa. Explain to bookers where these facilities are in relation to your public areas and meeting spaces.

EXAMPLE

General Overview: The Cityside Hotel, Oxford is a business hotel with a significant amount of meeting space which forms a prominent part of the venue's offline and online marketing.

Location; Located in the centre of the city of Oxford, the Cityside overlooks a suburban residential part of the city with little or no distractions from Oxford’s well-known tourist sites which are located 20 minutes' walking distance. The M40 motorway is some 20 minutes distant, connecting all parts of the country particularly London and the capital's airport network with Heathrow Airport 45 minutes travel by car. Oxford's train station is 5 minutes by car and in turn 45 minutes from the centre of London by train. Parking can be found at the hotel with 130 free spaces.

Design; The design style of the hotel is contemporary, of a business standard and though there is a small fitness space including a small pool and a sauna with an external membership, it is not a spa and supports the venue presented as a location for business. The building architecture is modern with a glass front and a low-level design, recognisable as an out-of-town-style meeting venue. Décor is attractive, muted in colour with light shades and no attempts to provide either a boutique or design-led experience to the overall styling.

Bedrooms offer an executive-level appointment with trouser presses, free Wi-Fi and a minibar. Bathrooms are functional and well-designed with mid-range toiletries. There is no executive level facilities and all rooms follow a similar colour theme.

Restaurant: The 125-seat restaurant is used for breakfast, lunch and dinner with spaces for small and larger private groups. The design follows that of the hotel with a modest, yet attractive style aligned to the business position of the hotel.

Meeting space is located in two areas of the hotel providing security if multiple groups are using the venue at the same time. Décor follows the design style of the other parts of the hotel with a modest, effective design across the 14 meeting rooms including the City suite which accommodates 125 person theatre style without projection.

Experience: The hotel is healthcare sector aware and supports a wide range of meetings such as advisory boards, investigator meetings and product training. The venue is active in supporting events from the Oxford science park which includes a range of start-up healthcare companies and medical communications organisations.

This is a multipurpose venue which hosts conferences, exhibitions, concerts and other pay to enter leisure entertainment events. This will be reflected in sales and marketing messaging and in our opinion should not distract bookers looking to use the venue for healthcare meetings and events.
